Activity Exchange sends out regular Person Backup Emails. Q. What is a Person Backup Email? A. Unless it has been turned off for your club Activity Exchange will send out an email which contains a Backup copy of all your Person records. Q. How often is this done? A. By default it happens Monthly on the first day of the Month. It can be set to happen Weekly, on Fridays or it can be turned off. Q. What is the format of the email? A. It is a plain text email with one attachment which an Excel Spreadsheet of your Person records. Q. What is the format of the Spreadsheet? A. It is a Spreadsheet with a single sheet. The first row is column names and the subsequent rows are for each of your People. Q. Who is the email sent to? A. It is sent to the the members of the 'Current Members' Admin Email Group. If this group does not have any members a request to add people to this group is sent to all the members who have access to the Person Records. More on where Activity Exchange sends its emails here Advanced Email Handling Q. What about Security? A. The spreadsheet is encrypted using a strong method. The password is the recipients Logon Password that they would use to Logon to Activity Exchange using their email address. Each recipient gets their own personalised copy of the Backup. Q. Any advice on the Password? A. If you get these emails you should make sure that you have a good Logon password. The Change Password page, which you can get to through your profile, has some advice and shows you how good your password is in terms of Length, Complexity and Strength. It is recommended that if you have access to Person Data then you have a password that is at least 12 characters long and is of at least Medium Complexity and Strength. Your Profile Q. How do I get this Enabled? A. It is enabled by default. If it has been previously Disabled and you want it Enabled then someone with the Master AccessCode needs to Edit the Clubs settings and turn this feature on. Q. How do I get this Changed from Monthly to Weekly or the other way round? A. By default it is set to happen Monthly. If you want it changed then someone with Master Access needs to Edit the Clubs settings and change it. Q. How do I get this Disabled? A. If you want it Disabled then someone with the Master Access needs to Edit the Clubs settings and turn this feature off. |
